2022 ANNUAL GENERAL MEETING

6. Approval of minutes of 2021 Annual General Meeting - June 4, 2022:

Motion to adopt the minutes: Marjan Jackman, seconded by Terry Martin. Carried.
7. Treasurer’s Report
a. Approval of Financial Statement – Ron reviewed the highlights of the Financial Statement. There was discussion regarding some of the Fund Balances as shown. Motion to approve the Financial Statement: David Reay, seconded by Terry Martin. Carried with one vote opposed - Virginia Lamb.

b. Review of Operational and Hall Expansion budgets – Ron reviewed both budgets.

9. Committee Reports:
a. Membership – Don Sinclair reported that as at December 31, 2022 there were 156 families, 62 singles for a total of 374 voting members. As at April 30, 2023 there were 162 families, 62 singles for a total of 386 voting members. Full report here.

b. Communication & Engagement Committee - Ellen Rush reported that the role of the committee is to encourage and engage the membership as well as to fundraise. The Committee includes Ellen Rush, Ann Dickie, Don Sinclair and Teresa Moore. Full report here.

c. Art & Display Committee - Ellen Rush reported that the Committee includes Mary Forbes, Carol Sowerby, Susan Unger and Ellen Rush. The Committee is responsible for sourcing both loaned and purchased art for display at Forbes Hall Community Centre. Full report here.

d. Merchandise - Ellen Rush reported that the merchandise program started in 2018. Since then, the gross sales have been $38,000. Thetis Island Merchandise has been useful as gifts or acknowledgement to various individuals or groups. Full report here.

e. Garden Committee – Don Sinclair reported that last year’s Plant Sale raised $400 for the purchase of plants. The committee’s role is to manage the various gardens and ground areas around the Hall. Full report here.

f. Food Services – Don Sinclair listed the various events held throughout the year and thanked all the volunteers who work on the committee. Full report here.

g. Library – Librarian Celine Valestrand reported that the library continues to run smoothly with Friends of the Library volunteers, in rotation, opening the library Saturdays from 10-1 and Sundays from 1-4. Georgina Maule has been opening the library each Monday from 10-1 since last fall. Full report here.

h. Quarterly - Veronica Shelford, Quarterly editor, reported that the Q has moved to an online version with printed copies available for a paid subscription. Full report here.

i. Website - Ann Dickie showed a sample page from the new website. The site will be up and running in the next few months. Full report here.

10. Report from the TICA appointee to the Thetis Island Community Fund:
TICF President Tricia Hunter thanked Ann for her apology statement. She gave details of the Fund’s activities for the year and reported that the fund has balance of $144,878 Full report here.
11. Election of Officers and Directors: The election of directors was conducted by Wendy Hinsperger. There were four open positions and all four current directors agreed to stay on. There were no nominations received prior to or at the meeting. The following were elected by acclamation: Marjan Jackman, Colleen Kasting, Teresa Moore, Ellen Rush

2021 ANNUAL GENERAL MEETING

2. Membership Report and Confirmation of Quorum:

There are 353 TICA members eligible to vote. Thirty-one members attended the meeting. Don Sinclair reported that this meets the quorum criterion of 5% of the membership in attendance.
3. Addition to Agenda: None
4. Adoption of Agenda: Approved
5. Approval of minutes of Annual General Meeting April 24, 2021:
Motion to adopt the minutes: Paul Duncan, seconded by Keith Rush. Carried.
6. Treasurer's Report:
a. Approval of Financial Statement - Ron reviewed the highlights of the Financial Statement. Motion to approve the Financial Statement: Matt Hess, seconded by Marjan Jackman. Carried.
b. Review of Operational and Hall Expansion budgets - Ron reviewed both budgets in detail.
7. Committee Reports:
Communication & Engagement Committee - The Committee includes Ellen Rush, Ann Dickie, Don Sinclair and Teresa Moore. Ellen Rush reported the Committee's role is to provide consistent clear and timely communication for TICA members and the broader Thetis Island community. The Committee actively works to engage the community, encourage participation in Forbes Hall and spearhead fundraising initiatives in support of the Hall Expansion project. Full report here.
Art & Display Committee - The Committee includes Mary Forbes, Carol Sowerby and Ellen Rush. The Committee is responsible for sourcing both loaned and purchased art for display at Forbes Hall Community Centre. There have been two separate shows since the hall opened last fall and the third will go up in the next few weeks. Full report here.
Garden Committee - The Committee includes Don Sinclair, Carolyn Askew, Emily McIvor and Laurel Marsh. Don Sinclair reported that the committee's role is to prepare and implement plans for various gardens and ground areas around the Hall. A recent Plant Sale raised $480 towards the purchase of plants and other garden supplies. Full report here.
Food Services - The Committee includes Ann Dickie, Don Sinclair and Shirley Burr. Food Services provides all the food for TICA events. The flagship Soups On is held on Wednesdays from October to April. Full report here.
Library - Celine Valestrand, the head librarian, reported that the library is open Saturdays and Sundays and whenever else the hall is open. There is a weekly story time/drawing class for primary students as well as activity time for the tots and caregivers' group. TICA has just purchased a new computer and printer for everyone's use. Website - Ann Dickie reported that a new Forbes Hall website is under construction and will be launched this summer. Full report here.
8. Facilities & Community Coordinator Report:
Ann Dickie, interim Coordinator, reported that between June and December 2021 the hall was used as follows: 8 renters; 12 community activities; 3 major events; 6 island groups meetings; 3 education, health and wellness activities which brought in $7,977.50. Full report here.
9. Health Services Report:
The committee includes Ann Dickie, Michelle Sutter, Jeannine Calbeck, Shirley Burr and Ann Dickie reported that TICA is working with VIHA to create a program which will provide regular health services to islanders at the Hall. Progress is underway and more information will be forthcoming. The massage therapist will be returning to regular hours at the Hall. Full report here.
10. Report from the TICA appointee to the Thetis Island Community Fund:
TICF Director Chad Kerr reported that the Fund now has seven directors who meet regularly to review assistance requests from Thetis Islanders. In 2021, the fund raised close to $14,000 in donations and disbursed $9426 to health requests, $3500 in educational bursaries and course fees, and $3484 for business expenses. So far this year, they have raised $10,000. The Fund is planning a Family Fun Day on August 6, 2022 with games, burgers and fun for all islanders.

13. Dave Reay announced a cemetery cleanup day on Sunday, July 19 from 10-2. (Post meeting note: Due to a conflict with the TIVFD annual BBQ, the date for the cemetery cleanup is now Sunday, July 26.)

Forbes Hall Expansion Update: Construction

Over the last few months there has been great progress at Forbes Hall.  With the behind-the-walls completion of electrical, plumbing, HVAC, and ductwork, the dry-wallers were able to complete their work.  It has transformed the space from stud walls and insulation to rooms ready for paint and flooring!  With the final sanding done, the wall and ceiling painting has started, and is planned for completion by the end of this year.

The main glass doors for the entry and the south patio have been installed, with their surrounding windows.  They look very inviting and allow for lots of light into the interior spaces.  The two-dozen interior doors will be delivered in late January.

The HVAC will be hooked up in the first week of January, providing heat and air throughout the facility.  The final hook up could not be done until the final sanding and cleanup of the drywall were complete.

The Thetis Island fir will be moved into the Assembly Hall this week, ready for painting by volunteers.  It needs to be in a dry, warm space for the finishing and is due for completion by mid-January.

Another main job for January is the installation of approximately 5,000 square feet of sub-floor and flooring.

These milestones bring us closer to completion, and ultimately, back into the hall.

Please consider joining the ever-expanding group of people who are bringing this project to completion.  As mentioned, the Thetis Island fir from the December 2018 storm will be stained and finished for interior trim by volunteers.  Please contact Greg Gall at gnpgall@gmail.com if you are willing to work on this part of the project (in a dry, warm building, physically distanced), or in any other way.  Contact Teresa Moore at teresamoore386@gmail.com for participation within a committee.

The year started with just a foundation, and is ending with a beautiful building on the cusp of completion. Our sincere thanks go to all of those who have volunteered tirelessly for this transformation, and to the workers who have built our island a great facility ~ 2021 will see the re-opening of our much needed and missed Forbes Community Centre.

Bulletin No. 38, November 2, 2020

FORBES HALL EXPANSION UPDATE: CONSTRUCTION

Over the past month, there has been much activity in the hall as the membership's approval to borrow has allowed for the project to move forward to completion! In October all of the electrical and mechanical installations were completed to the point that an incredible volunteer group was able to get going on insulating the building.

With the electrical and mechanical inspections completed (until the final), the installation of insulation, vapour barrier- and drywall can be completed. Doors and large feature windows are in place, and once the final large entry doors have arrived and are installed the final application of siding will be finished.

The drywall contractor found a great deal on sheetrock, saving the project about 15% on materials. The day it was being delivered, there were ten workers on-site, as well as the six-member Project Management Team. Their meeting was held in the Library, where they were able to physically distance amongst the piles of sheetrock, while work went on in the rest of the building. The new skylights brought lots of light into the room making it a great place to meet. Soon there will be ancillary heating, and as the days get cooler it will be a huge improvement to have a heated space to meet in, and for the workers, too!

The response to volunteer callouts has been enormously supportive. People have been showing up to work, not easy work, for long, steady hours. During the mechanical and electrical installations equipment and materials lay throughout the building, and the cleaners somehow still managed to get the construction area swept and organized for the next day. The work these volunteers are doing for their community is very much appreciated and knowing that so many people have actively engaged in this project, speaks volumes about Thetis Islanders.

Please consider joining the ever-expanding group of people who are bringing this project to completion. Some of the volunteer jobs are behind the scenes and only require a commitment of several hours a week. Whether turning up to pitch in and help with construction volunteering or offering some expertise or willingness to the various committees, your time and contribution will be welcomed! Bulletin No. 37, October 5, 2020

FORBES HALL EXPANSION UPDATE: CONSTRUCTION

With the recent approval by the TICA membership to allow necessary borrowing to complete the Forbes Hall Expansion Project, all phases are now being finalized with sub-trades and material purchases.  It is busy every day, with painting, mechanical and electrical installations.  So many feet of ductwork and wires!  Bundles of insulation sit at the ready for filling the walls, before drywall begins later this month.

To reduce costs, one of the containers (sea-can) and most of the security fencing will be returned.  These items are rented, and the sooner they are sent back the better.  The crawlspace (basement) is going to be insulated and dry-walled very soon, to allow the contents to be moved into a secure, soon to be heated space.  This will allow, in particular, for the library book boxes to be opened, checked, and aired.

This week there are inspections for electrical and mechanical, both necessary before insulation can begin.

The rear windows have been installed; next to come are the standard exterior doors, followed by the large frame windows, and finally the large frame doors.  Once all the windows and doors are in place, the final siding will be installed.

There will be volunteer call-outs this week for insulating, and for finishing the Thetis Island fir for interior trim.  Please contact Greg Gall to get your contact information on his list if you want to volunteer onsite.

Tricia Hunter and Joel Delaquis have spent time getting the Audio Visual plan together, so the installation of cables and power to the different locations can be done before insulation and dry-walling.  The plan expands on the previous audio/visual capacity in the hall and allows for any future needs.  Sound and video are available in four rooms, either independent of each other, or connected for large events which enables many more people to be able to view and hear the event's presentation.  Tim French has planned all the data cabling and sites so our hall will truly be connected.

A small group has looked at the site to start planning for the landscaping and gardens to come.  They will be looking at low maintenance, native, and drought resistant plantings that will enhance the building and grounds for years to come.

Small committees are under development: Programming Outreach, Gardening, Audio-Visual, Signage, Notices & Installations are just a few.  If something appeals to you, please get in touch with Tatiana Nemchin tatiana@wingwalker.ca and you will be included in future communications.  More information will be shared as the project moves along.
